WooCommerce can calculate shipping rates a few common ways, depending on how the store is set up:
Flat Rate: You set a fixed price (ex: $9.99 standard shipping) per order, per item, or per shipping class.
Free Shipping: Free shipping can be offered based on conditions like minimum order total, coupon, or specific shipping zone.
Local Pickup / Delivery: A set option shown at checkout based on the customer’s address.
Carrier “live rates” (USPS/UPS/FedEx, etc.): Rates are calculated in real time using package weight + dimensions + destination + shipping service (and sometimes handling fees). This requires a carrier rates integration/plugin and accurate product weights/dimensions.
In all cases, WooCommerce decides which options show up using Shipping Zones (like “United States,” “Florida,” “Canada,” etc.). If a customer’s address matches a zone, WooCommerce shows the methods you’ve enabled for that zone.
When using the WooCommerce Shipping plugin, labels are printed directly from your WordPress dashboard:
Go to WooCommerce → Orders and open the order you want to ship
In the WooCommerce Shipping section, confirm the shipping address and package details (weight and dimensions)
Select the shipping service and purchase the label
Download and print the label (standard 4×6 label format recommended)
Once the label is purchased, the order is automatically linked to that shipment.
When a label is created using WooCommerce Shipping, the tracking number is:
Automatically added to the order
Sent to the customer by email when the order is marked as shipped or completed
Visible in the customer’s account under My Account → Orders
No manual tracking entry is needed when labels are generated through WooCommerce Shipping, making the fulfillment and notification process seamless for both the store owner and the customer.
WooCommerce supports a wide range of payment methods, depending on the payment gateway you choose. Common options include credit and debit cards, Apple Pay, Google Pay, bank transfers (ACH), and digital wallets like PayPal. Many gateways also support buy now, pay later options and local payment methods. You can enable or disable payment methods at any time from the WooCommerce settings based on what works best for your business.
Payout timing depends on the payment processor, but most gateways deposit funds into your bank account within 1–3 business days after a transaction is completed. Some providers may hold the first few payouts slightly longer for verification, while subsequent deposits follow a regular daily or weekly schedule.
Yes, transaction fees apply and vary by payment provider. Fees are typically a small percentage of each transaction plus a fixed amount (for example, a percentage of the sale + a per-transaction fee). There are no additional WooCommerce fees beyond what your chosen payment gateway charges.
Yes. WooCommerce allows you to issue full or partial refunds directly from the order screen as long as the payment gateway supports automatic refunds. The refunded amount is sent back to the customer’s original payment method, and the order status is updated automatically. If a gateway does not support automatic refunds, WooCommerce will still record the refund internally while you process the payment manually through your payment provider.
All new orders appear in your WordPress dashboard under WooCommerce → Orders. Each order is listed with its order number, customer details, payment status, and total. You can click into any order to view full details, manage fulfillment, print labels, or issue refunds.
WooCommerce automatically marks an order as paid when payment is successfully completed through the payment gateway. You’ll see:
The order status change from Pending payment to Processing or Completed
A payment confirmation note added to the order
An order notification email sent to the store admin (if enabled)
This lets you know the order is ready to be fulfilled.
Processing: Payment has been received, but the order still requires fulfillment—such as shipping physical products or preparing the order. This is the most common status for shippable items.
Completed: The order has been fully fulfilled. For physical products, this usually means the order has been shipped. For virtual or downloadable products, orders may be marked as completed automatically after payment.
These statuses help you quickly track which orders still need action and which are finished.
